Practical guide

How to start reviewing your IT spending

Use this checklist to prepare an IT spending review and identify the questions that need answering before making changes.

Build a consistent baseline

Gather supplier invoices, contracts, renewal dates, licence records and the list of services they support. Record the period covered so comparisons use the same basis.

Connect costs to services

Identify the business service and owner behind each cost. Ask whether the service is still required, who uses it and what would happen if it changed.

Separate savings from transition costs

For each opportunity, identify contractual commitments, implementation effort, service dependencies and any one-off spending. Avoid treating the entire contract value as an immediately available saving.

Agree the next decisions

Prioritise the opportunities, assign owners and decide what further evidence is needed. Keep service quality and operational risk alongside the financial case.

This guide sets out a suggested preparation approach. The scope of a review or engagement should reflect your organisation’s circumstances.
